The type of personal information we collect

We currently collect and process the following information:

  • Age related data in the form of age category bands.
  • Skills, if provided to us by you.

How we get the personal information and why we have it

All of the personal information we process is provided to us directly by you for one of the following reasons:

  • To stay engaged with the purposes and progress of the Sinclair’s Bay Trust and its projects by form of email updates;
  • To collate a database of persons interested in participating in the activities of Sinclair’s Bay Trust;
  • Age related data allows us to tailor updates in certain circumstances and lets us capture demographic data;
  • Skill-sets provided to us are used to assist with matching the right offers of assistance to a relevant project or request for help;

We also receive personal information indirectly, from the following sources in the following scenarios:

  • Facebook provides us with names and social media contacts which may be used in the future to contact community members with updates or requests for assistance.

We do not share any private information or data with anyone outwith the Sinclairs Bay Director group unless expressly invited to by you.  Your entering of personal information into our data gathering website forms or other methods of capturing relevant data are deemed as acceptance of this.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting us at admin @ sinclairsbay.co.uk. 

(b) We have a vital interest.

(c) We need it to perform a public task.

(d) We have a legitimate interest.

 

How we store your personal information

Your information is stored in a secure Dropbox account and our admin PC within a spreadsheet.  Access is by the Trust Directors only.

We keep this information until requested not to by the named person or until the time of their death.  We will then dispose your information by complete removal, in full, from our information spreadsheet.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
